Job Description

Location: Emeryville, CA - This is an in-person, on-site role and is not a remote position.
Schedule: Full-Time, 40 hours/week
Reports to: Owner
Compensation: $35–$45 per hour (DOE)
Hourly compensation is intentionally set to reflect both the responsibilities of the role and the absence of additional benefits.



About the Role
We are a privately owned real estate and property maintenance business with operations in California and North Carolina seeking an experienced Office Manager to oversee day-to-day office operations, compliance, and administrative systems.

This is a hands-on role with broad responsibility. The Office Manager serves as a central point of coordination between ownership, office staff, and field teams, helping ensure priorities are clear, documentation is accurate, and work moves forward smoothly.

This position requires sound judgment, discretion, and the ability to manage multiple responsibilities independently while maintaining professionalism and composure.

Applicants should be comfortable operating independently in a role with broad responsibility and limited day-to-day supervision.

Key Responsibilities
Office & Operations Management
• Oversee daily office operations and administrative workflows
• Maintain filing systems, records, and internal documentation
• Ensure adherence to established SOPs and best practices
• Coordinate communication between office staff, field teams, and ownership
• Help manage information flow and clarify priorities to support productive workflows

HR Administration & Employee Vetting
• Manage onboarding paperwork and personnel files
• Conduct initial screening of job applicants, including resume review and reference checks
• Maintain HR documentation in compliance with state and federal requirements

Tenant Screening & Property Administration
• Review rental applications, background checks, credit reports, and rental history
• Draft and prepare lease agreements and related rental documentation
• Maintain accurate tenant and leasing records
• Coordinate rental readiness as properties become available

Municipal & Regulatory Coordination
• Assist with permitting, licensing, tax documentation, and compliance issues
• Communicate with municipalities and agencies as needed


Required Qualifications
• Prior experience as an Office Manager, Operations Administrator, or similar role
• Experience with tenant screening and lease administration within a property management or similar regulated environment
• Familiarity with HR administrative processes and handling confidential records
• Strong organizational skills and attention to detail
• Ability to manage multiple responsibilities with limited oversight
• Clear, professional written and verbal communication skills
• Ability to remain calm, solutions-focused, and professional in a fast-moving environment

Preferred Experience
• Experience working within a real estate, property management, or maintenance-based business, including exposure to ownership-driven or small business operations
• Exposure to multi-state operations or compliance (especially CA or NC)
• Experience working in a small business with broad responsibility



Compensation
• $35–$45 per hour, depending on experience
