Position Summary:
The Administrative Accounting Coordinator plays a vital role in supporting the day-to-day financial operations of the organization. This position is responsible for managing accounts payable and receivable, assisting with general accounting tasks, maintaining accurate records, and providing administrative support to the accounting team. The ideal candidate is detail-oriented, organized, and capable of handling multiple responsibilities in a fast-paced environment.

Key Responsibilities:
Accounts Payable:
• Process vendor invoices, verify accuracy, and ensure appropriate approvals from the board and property manager.
• Respond to emails from property managers and vendors regarding payment statuses or cashed checks.
• Ensure timely payment of tax and insurance obligations.
• Accurately code expenses to the correct general ledger (GL) accounts.
• Maintain organized and up-to-date AP documentation and filing systems.

Accounts Receivable:

• Generate and distribute invoices to clients, homeowners, or customers.
• Monitor accounts receivable aging reports and follow up on past-due balances.
• Record payments (checks, ACH, lockbox) promptly and accurately.
• Communicate professionally with clients regarding billing questions or payment concerns.

General Accounting & Administration:

• Assist with journal entries, account reconciliations, and month-end closing procedures.
• Support the preparation of financial reports and statements.
• Maintain accurate accounting records and documentation.
• Assist in responding to audit requests and compiling audit documentation.
• Contribute to annual budget preparation and other special projects as assigned.
• Help with entering new accounts in accounting software (Caliber).
• Create trial balances for newly established accounts.
• Provide general administrative support to the accounting department.

Qualifications:
• Associate's or Bachelor's degree in Accounting, Finance, or a related field preferred.
• 2+ years of experience in accounting or administrative support roles.
• Strong understanding of accounts payable and accounts receivable processes.
• Proficiency in accounting software (experience with Caliber is a plus).
• Excellent organizational and time management skills.
• Strong attention to detail and a high level of accuracy.
• Effective written and verbal communication skills.
• Ability to work independently and as part of a team.
