Position Type: Part-Time | Contract
Hours: 10–20 hours per week (flexible, increases near event dates)
Location: Thousand Oaks
Reports to: Event Director
About the Role:
We are seeking a reliable, detail-oriented Part-Time Admin & Event Assistant to support the planning and execution of our Consumer Community events. This role is ideal for someone who is organized, proactive, and comfortable handling multiple administrative tasks in a fast-paced, deadline-driven environment.
This position provides essential behind-the-scenes support to ensure smooth communication with exhibitors, sponsors, partners, and attendees.
Key Responsibilities
Provide general administrative support to the Event Director
Assist with exhibitor and sponsor communications (email follow-ups, confirmations, document requests)
Maintain and update spreadsheets, contact lists, and registration data
Help manage event timelines, deadlines, and task lists
Prepare and organize digital files (contracts, applications, invoices, marketing assets)
Support email campaigns and basic data entry
Assist with pre-event logistics (badges, booth lists, signage coordination, checklists)
Support post-event follow-up tasks (thank-you emails, surveys, data)
Communicate professionally with community partners and vendors
Qualifications & Skills:
Strong organizational and time-management skills
Excellent written communication and professional email etiquette
Comfortable working independently with minimal supervision
Detail-oriented with strong follow-through
Basic proficiency in Microsoft Outlook, Excel, Google Docs/Sheets
Experience supporting events, nonprofits, or community organizations is a plus
Friendly, patient, and respectful as you will be working with senior-focused audiences
Ideal Candidate:
Enjoys organizing and keeping projects on track
Can juggle multiple tasks and shifting priorities
Takes initiative and anticipates needs
Is comfortable working remotely and meeting deadlines
Has an interest in community events, senior services, or nonprofit work
Compensation:
Hourly, contract-based (rate based on experience)
Flexible schedule with increased hours leading up to event dates
**IMPORTANT:
Must have a car and be able to travel to events on expo days.
