About Us
We are a boutique medical spa in Glendale dedicated to providing high quality aesthetic treatments and a luxury level patient experience. Our practice focuses on professionalism, attention to detail, and exceptional service.
We are looking for a highly motivated, dependable Front Desk Patient Coordinator who takes initiative, uses good judgment, and understands how to deliver an outstanding client experience in a fast paced environment.
This role is ideal for someone who enjoys working with people, stays organized under pressure, and can manage responsibilities without constant supervision.
Important Requirement
Applicants must have a minimum of 2 years of customer service experience.
Experience in a medical spa, dermatology office, cosmetic clinic, or luxury hospitality environment is strongly preferred.
Applications that do not meet the minimum customer service experience requirement will not be considered.
Responsibilities
• Perform opening and closing duties for the clinic
• Schedule appointments and manage client communications via phone, email, and text
• Greet clients and provide a professional, welcoming first impression
• Assist with client check in, check out, and intake forms
• Maintain cleanliness and organization of the clinic throughout the day
• Follow up with new client inquiries and existing patients
• Assist with basic social media content creation when needed (good video skills a must)
• Support providers and staff with administrative tasks
• Help maintain a smooth daily workflow for the clinic
Qualifications
Candidates should be comfortable providing concierge level service to aesthetic patients and maintaining a polished, professional environment.
As the first point of contact for our clinic, the Front Desk Coordinator plays a key role in the patient experience.
The ideal candidate will demonstrate:
Professionalism: Always punctual, polished, and reliable.
Customer Service Excellence: Friendly, attentive, and committed to providing a high level of service.
Self Motivation: Able to take initiative, problem solve, and stay productive without constant direction.
Strong Communication Skills: Clear, professional communication both verbally and in writing.
Organization & Multitasking: Comfortable managing multiple responsibilities in a fast paced environment.
Sales Awareness: Ability to educate clients on services and help support treatment bookings.
Attention to Detail: Strong accuracy with scheduling, records, and client communication.
Technical Skills: Comfortable using Mac computers, booking systems, and basic social media platforms.
Understand scope of practice: Refrain from giving medical advice or treatment recommendations, as only providers can do this.
Additional Requirements:
• Must be available to work Saturdays (8:30 am- 2:00 pm)
• Must maintain a professional appearance (scrubs required, neat grooming, no long nails)
• Experience in aesthetics or beauty industry is strongly preferred
• Must be reliable and punctual
Schedule:
Monday, Tuesday, Thursday, Friday: 0930 AM to 5 PM (hours can change slightly)
Saturday: 8:30 AM to 2 PM
Expected hours: 24 to 30 hours per week
Compensation & Benefits
$21 to $25 per hour depending on experience
