We are Il Pastaio Ristorante, an Italian restaurant in Beverly Hills, hiring a Restaurant Administrative Assistant to become part of our team. The position requires flexible availability of schedule. Job Summary
The Restaurant Administrative Assistant provides administrative and operational support to restaurant management to ensure smooth daily operations. This role involves handling paperwork, coordinating schedules, managing records, supporting inventory and purchasing processes, and assisting with staff communications. The ideal candidate is organized, detail-oriented, and comfortable working in a fast-paced restaurant environment.
Key Responsibilities
Administrative Support
• Prepare, organize, and maintain restaurant records, files, and documentation
• Assist with data entry, reports, and basic bookkeeping tasks
• Answer phone calls, emails, and handle general inquiries professionally
• Support managers with correspondence, forms, and documentation
Operations & Scheduling
• Assist with staff scheduling and timekeeping records
• Track employee attendance, leave, and related documentation
• Coordinate meetings, training sessions, and staff communications
• Support onboarding documentation for new employees
Inventory & Purchasing
• Help track inventory levels and update inventory records
• Assist with ordering supplies, uniforms, and office materials
• Maintain vendor contact information and purchasing documents
Financial & Compliance Support
• Assist with invoice processing by scanning and sending to the accounting department, expense tracking, and filing receipts
• Support payroll preparation by organizing hours and documentation
• Help ensure compliance with health, safety, and labor regulations by maintaining required records
General Support
• Act as a point of contact between management, staff, and external partners
• Handle ad hoc administrative tasks as needed to support restaurant operations
Required Qualifications
• High school diploma or equivalent (Associate’s degree preferred)
• Previous administrative or office support experience (restaurant or hospitality experience is a plus)
• Basic knowledge of office procedures and recordkeeping
• Comfortable using computers and office software (e.g., spreadsheets, scheduling tools, email)
Skills & Competencies
• Strong organizational and time-management skills
• Excellent written and verbal communication
• Attention to detail and accuracy
• Ability to multitask and prioritize in a fast-paced environment
• Professional, reliable, and team-oriented attitude
Working Conditions
• Office-based with regular interaction in restaurant areas working 50 hours/week
• May require flexibility in working hours to support restaurant operations
• Fast-paced environment requiring adaptability
