Job Description
Position Summary
RA Construction GC Inc. is seeking an experienced Construction Office Manager/Bookkeeper to manage daily office operations and accounting functions for our growing general contracting business. This role requires someone who is highly organized, detail-oriented, and familiar with the construction industry. The ideal candidate can independently run a small office, manage bookkeeping, and communicate effectively in both English and Spanish.
Key Responsibilities
Office Management & Administration
- Manage day-to-day office operations and organization
- Maintain office systems, files, and records (digital and physical)
- Answer phones, manage emails, and handle general correspondence
- Coordinate schedules, meetings, and document flow
- Support ownership and project teams with administrative needs
Accounting & Bookkeeping
- Manage Accounts Payable and Accounts Receivable
- Enter and reconcile transactions in QuickBooks
- Process invoices, vendor bills, and subcontractor payments
- Prepare and send customer invoices and track collections
- Reconcile bank and credit card statements
- Assist with payroll coordination and reporting
- Work with the company accountant/bookkeeper as needed
Construction-Specific Duties
- Handle subcontractor and vendor paperwork
- Track insurance certificates, W-9s, and compliance documents
- Assist with job costing and expense tracking
- Support project documentation (contracts, change orders, lien releases, etc.)
Technology & Systems
- Use Microsoft 365 (Outlook, Word, Excel, OneDrive, Teams) daily
- Maintain organized digital filing systems
- Create basic reports, spreadsheets, and summaries
Required Qualifications
- Experience in the construction industry (general contracting preferred)
- Strong knowledge of QuickBooks and bookkeeping principles
- Experience handling AP/AR
- Proficient in Microsoft 365
- Fluent in Spanish and English (spoken and written)
- Highly organized with strong attention to detail
- Able to work independently and manage multiple priorities
