ABOUT US
We are a fire sprinkler installation company supporting commercial and residential projects. Our team works closely with inspectors, contractors, and technicians to ensure life-safety systems are installed accurately and on time. We are seeking a reliable Office Assistant to support daily administrative operations and help keep our projects running smoothly.
POSITION SUMMARY
The Office Assistant plays a key role in supporting office operations, field technicians, and management. This position requires strong organizational skills, attention to detail, and the ability to handle multiple priorities in a fast-paced construction environment.
KEY RESPONSIBILITIES
• Answer and route incoming phone calls and emails professionally
• Schedule inspections, service appointments, and technician dispatches
• Assist with permit tracking, inspection documentation, and job files
• Maintain organized digital and physical filing systems
• Prepare invoices, purchase orders, and basic data entry
• Support payroll time tracking and technician hours (as needed)
• Coordinate with vendors, suppliers, and subcontractors
• Assist with customer communication and follow-ups
• Perform general office duties to support daily operations
QUALIFICATIONS
• 1+ year of administrative or office support experience preferred
• Experience in construction, fire protection, or trade services a plus
• Strong organizational and time-management skills
• Comfortable working with scheduling software, email, and spreadsheets
• Clear communication skills and professional phone etiquette
• Ability to multitask and prioritize in a deadline-driven environment
• Dependable, detail-oriented, and team-focused
WORK ENVIRONMENT
• Office-based role supporting field operations
• 100% In Office/In Person (No hybrid or remote opportunities)
• Frequent interaction with technicians, inspectors, and customers
• Standard business hours with occasional flexibility
