Position Overview
We are seeking a highly organized and detail-oriented Office Administrator to support daily office operations, accounting coordination, project documentation, and internal workflows. This role is essential to keeping projects, teams, and leadership aligned.
The ideal candidate is proactive, reliable, comfortable in a fast-paced construction office, and experienced with administrative systems and documentation.
Key Responsibilities
- Manage daily office operations and administrative workflows
- Support accounting and project teams with data entry, document tracking, and reporting
- Organize and maintain digital and physical files (contracts, invoices, permits, insurance, etc.)
- Assist with billing support, purchase orders, and job cost documentation, AP/AR...
- Coordinate with project managers, vendors, and subcontractors
- Answer phones, manage emails, and handle general office communications
- Track compliance documents (licenses, insurance certificates, W-9s)
- Support leadership with scheduling, reporting, and special projects
Required Qualifications
- 3+ years experience in office administration or similar role
- Strong organizational and multitasking skills
- Excellent written and verbal communication
- Proficiency in Microsoft Office
- Ability to work independently and manage priorities
Preferred Qualifications
- Computer Ease experience is a strong plus
- Construction, electrical, or contracting office experience preferred
- Familiarity with job costing, invoicing, and project documentation
- Experience supporting accounting or operations teams
