Job Description
Dee Wagner Catering & Events is seeking an experienced Event Coordinator to support the planning and execution of weddings and events throughout the Bay Area. This role is ideal for someone who is highly organized, calm under pressure, and experienced in real event-day coordination.
Our work spans catering, planning, and design, and every event is custom built around the client — never templated. The Event Coordinator will support logistics, timelines, on-site execution, and planning tasks.
This is a part-time, event-based role with room to grow, best suited for someone who enjoys collaboration, takes initiative, and values thoughtful, well-run events. Must be able to work weekends and be willing to take time off during the winter months not the busy season which is defined as June-October. The job is a combination of administrative tasks (decor decks, rental orders, emails, timelines) and actual event day responsibilities. You need to be extremely organized and self motivated. Minimum of 20 hours a week in the slower months but increasing as the season progresses.
Responsibilities
Support the planning, coordination, and execution of weddings and events
Assist with event timelines, run-of-show documents, and logistics planning
Coordinate with vendors, venues, and internal teams to ensure smooth execution
Support on-site event setup, execution, and breakdown as needed
Communicate clearly and professionally with clients, vendors, and guests
Anticipate needs on event days and problem-solve calmly in real time
Create and maintain rental orders
Create planning docs within pages and canva that support the decor and design of each event.
Experience & Qualifications
Prior experience in event coordination, event production, catering, or hospitality
Strong organizational skills and attention to detail
Ability to manage multiple tasks and priorities in a fast-paced environment
Comfortable working independently while collaborating as part of a team
Excellent communication and interpersonal skills
Experience working event days, including long hours and physical setup
Familiarity with planning tools such as Canva, Prismm, Excel, Google Docs, and Pages
Reliable transportation and access to a personal computer required
