Job Description
We are a small manufacturing office looking for an experienced Administrative Assistant to support our Operations Manager. This is a hands-on, fast-paced role for someone who is highly organized, detail-oriented, and comfortable working in a machine shop environment. The right person follows up, gets things done efficiently, and knows how to track down answers quickly.
Responsibilities:
• Coordinate purchasing activities to ensure timely procurement and delivery of materials
• Research new suppliers and negotiate pricing, delivery, and quality
• Create, process, and track purchase orders
• Resolve issues related to quantity, pricing, and delivery discrepancies
• Monitor material shortages and at-risk items, including long lead-time parts
• Maintain strong working relationships with suppliers
• Follow up on open items to ensure issues are resolved quickly and accurately
• Assist with data analysis and creation of spreadsheets and charts
• Perform cross-functional tasks as requested by management
• Communicate with vendors, customers, sales, shipping/receiving, and accounting to resolve order and shipment issues
• Keep work area clean and organized
• Work effectively as part of a team
Qualifications:
• Prior experience in a machine shop is required (please do not apply without this experience)
• Strong follow-up skills with the ability to drive tasks to completion
• Able to work quickly, prioritize effectively, and meet deadlines
• Comfortable picking up the phone, asking questions, and getting answers when needed
• Ability to read and interpret prints, job travelers and manufacturing documentation
• Strong math skills, including discounts, freight estimates, dimensional weight, invoices, and percentages
• Proficient in Microsoft Office, especially Excel, with the ability to read and respond to emails in a timely manner
• Highly organized with strong multitasking skills
• Dependable, with reliable attendance and punctuality
• Comfortable working in a fast-paced environment
