About the Role
We are a janitorial company seeking a detail-oriented and organized Administrative Assistant to join our Accounting Department. The successful candidate will play a vital role in supporting daily accounting operations, providing administrative support, and ensuring efficient workflow within the department. This is an excellent opportunity for an individual who is reliable, proactive, able to work independently, and eager to contribute to a dynamic team. The ability to confidently communicate with customers is essential, as this role will also include working on collections and handling customer inquiries.

Key Responsibilities
• Work independently to manage daily administrative and accounting tasks.
• Utilize QuickBooks Online efficiently for day to day accounting operations.
• Assist with the preparation, processing, and filing of financial documents and reports.
• Maintain organized records of invoices, receipts, and other accounting documents.
• Respond to internal and external inquiries related to accounts payable/receivable and general accounting matters.
• Communicate professionally with customers regarding account status, payments, and collections.
• Work on collections by contacting customers, tracking outstanding payments, and collaborating with the team to resolve issues.
• Help maintain confidentiality and security of sensitive financial information.
• Perform other administrative duties as assigned by accounting management.

Qualifications
• High school diploma or equivalent required; associate or bachelor’s degree preferred.
• Previous experience as an administrative assistant, preferably in an accounting or finance setting.
• Some experience using QuickBooks Desktop or QuickBooks Online.
• Ability to work independently with minimal supervision.
• Strong organizational and multitasking skills with keen attention to detail.
• Excellent written and verbal communication skills, including the ability to speak confidently with customers.(Bilingual in English & Spanish)
• Experience in collections or working with customer account inquiries is preferred.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with accounting software is a plus.
• Ability to handle confidential information with discretion.
• Strong problem-solving skills and a positive, team-oriented attitude.
