Busy Legal Document Preparation/Paralegal Services company is seeking a professional, friendly, and detail-oriented entry-level Receptionist to join our team.
✅Must be Bi-lingual (English/Spanish).
This position is structured as a 90-day temporary assignment (short-term assignment); however, extension may be considered based on business needs and performance.
The receptionist will be the first point of contact for clients and visitors, ensuring a positive experience while managing a variety of administrative and office tasks. The ideal candidate should have excellent communication skills, an ability to multitask, and a basic understanding of office procedures. This role is ideal for someone who thrives in a professional environment, enjoys client interaction, and takes pride in maintaining an organized and welcoming front office.
Key Responsibilities:
• Client Interaction: Greet clients and visitors in a professional and courteous manner. Answering and screening phone calls, taking messages, and directing calls to the correct party. Responding to customer inquiries and requests in a timely and friendly manner.
• Scheduling: Manage office calendar, coordinate meetings, and confirm appointments.
• Document Handling: Prepare, organize, and maintain legal documents and files. Ensure that all correspondence is scanned labelled, filed, and handled appropriately.
• Front Office Management: Maintain the reception area, ensuring it is clean, organized, and welcoming.
• Client Intake: Collect necessary information from clients and assist with initial intake forms.
• General Administrative Support: Assist with light typing and/or drafting letters; Keeping track of office supply inventory and restocking as needed; file management, and other administrative duties as needed. Performing clerical tasks like filing and faxing.
Schedule:
Our preferred schedule is Monday–Friday, 9:00 a.m. to 4:00 p.m.; however, we are flexible. Candidates must be available to work at least 4 hours per day between the hours of 9:00 a.m. and 5:00 p.m., Monday through Friday. Reliable daytime availability is essential, as this role supports front office operations during standard business hours.
Qualifications:
• Education: High school diploma or equivalent. Additional certification or coursework in office administration or paralegal studies is a plus.
• Experience: None. Willing to train; however at least 1-2 years of experience in a receptionist or administrative role preferable.
• Skills: Strong communication skills, both written and verbal. Excellent organizational skills and attention to detail. Ability to handle sensitive and confidential client information with discretion. Ability to multitask in a fast-paced office environment
• Software Knowledge: Familiarity with office software (Microsoft Office Suite, Adobe, Google Workspace, etc.). General knowledge of computers.
• Other: Ability to handle a fast-paced environment, self-starter, and work independently. Professional demeanor and ability to represent the office in a positive manner. Reliable and punctual
Preferred Skills:
• Experience in a legal office is highly desirable but not required.
• Bilingual (Spanish/English) is REQUIRED.
Assignment Details:
