Summary
The Office Services Manager is responsible for overseeing the Office Services Department and functions which consists of the Mail Services, Supply, Print Production, Facilities maintenance and Reception. This role will also include responsibility for planning firm events and managing catering relationships. In addition, this position is highly transactional and customer service focused, serving external customers (vendors, clients, candidates, external guests) and internal customers (LCHB partners and employees).
ESSENTIAL DUTIES AND RESPONSIBILITIES includes the following. Other duties may be assigned.
- Creates, communicates and drives the strategic vision for the Office Services and Reception functions, aligning it with the overall vision of the Services and Reception areas
- Ensures designs and processes are in place to establish effective delivery of all Office Services operations
- Develops meaningful and strategic customer/client relationships across the firm’s offices, to both internal and external customers
- Manages all aspects of Office Services support as it pertains to Mail/Supply and Print Production operations within the firm
- Partners with other department heads to ensure that all responsibilities are handled in a way that protects firm intellectual property, client materials and business information
- Manages and monitors Office Services and Reception staff resources and talent
- Trains, evaluates and supervises Office Services clerks and Receptionists
- Coordinates the purchases of office furniture in accordance with firm guidelines
- Ensures facilities are polished and professionally maintained at all times; acts as contact for building management representatives
- Collaborates with Human Resources Department to ensure workplace safety procedures are implemented for all employees; provides ergonomic evaluations in conjunction with ergonomic specialists for workstation optimization
Events Planning Responsibilities
- Sources, negotiates, and maintains strong relationships with preferred vendors, caterers, and restaurants
- Places (or supervises placement of) catering orders for all in-house or offsite meetings and reconciles invoices for accuracy (delivery time, quantities and headcount)
- Responsible for maintaining catering and kitchen supply and equipment inventory and reports on same to manager on a regular basis.
- Responsible for overall maintenance of catering rooms, kitchens pantries, and conference rooms to ensure cleanliness, functionality and safety for all employees and vendors
- Conducts daily walk-throughs in the catering rooms, kitchens and conference rooms
- Researches and recommends new catering vendors to manager. Solicits employee feedback regarding food vendors
- Arranges weekly food and beverage delivery, and food and beverage services for meetings where they are required
- Processes (or oversees processing of) all catering invoices promptly and codes accurately for accounts payable
- Assists with the oversight of firm sponsored events and the planning and implementation of catering or event assistance for the firm’s other onsite or offsite events whether attorney, staff, senior management or executive management events in the Bay Area
- Ability to attend events during and after hours, as needed
- Performs other related duties as needed
MINIMUM QUALIFICATIONS
2-5 years of experience as a manager/supervisor in a law firm or professional services environment, required.
PHYSICAL DEMANDS
Position requires the ability to shift boxes, office equipment including copiers, scanners, etc. Must have the ability to lift in excess of 10-20 pounds
SHIFT/WEEKLY SCHEDULE
Regular business hours are from 9:00 am to 5:00 pm, Monday through Friday. Office Services/Facilities Manager, as an exempt employee, is expected to perform work outside of these hours as necessary (may include evenings, weekends and holidays).
