Data & Inventory Manager, Food Hub Operations
About Us:
Founded in 2006, Mālama Kaua‘i is a community-based nonprofit working to increase local food production and access across Kaua‘i. Our food hub programs support commercial, institutional, and consumer buyers through kauailocalfood.com, while also advancing food access programs including SNAP/EBT, DA BUX, WIC, and free food distributions.
We work with over 100 local farmers and producers and operate a high-volume, deadline-driven food distribution operation that requires strong data systems to function smoothly.
The Job:
This full-time position, located at our Moloa‘a hub, includes overseeing all food hub data, including logistics, finances, inventory management, and orders. This role ensures accuracy, consistency, and on-time execution across weekly food distributions. This role is primarily computer-based and involves extensive spreadsheet work to manage orders, inventory, payments, and reporting.
Reports to the Executive Director and works alongside the Food Hub Operations Manager, who handles on-the-ground operations, staff coordination and communications functions of the hub. If you enjoy controlling complex datasets, spotting discrepancies, and building reliable systems under weekly deadlines, this role may be a strong fit.
Duties include, but are not limited to:
- Managing weekly product ordering, inventory reconciliation, and data uploads within the food hub’s e-commerce platform
- Maintaining accurate order, inventory, and financial spreadsheets that serve as the system of record for food hub operations
- Processing customer and vendor payments, subscriptions, and SNAP/DA BUX calculations in compliance with strict program requirements
- Preparing packing lists, delivery routes, and operational reports for the food hub team
- Identifying and correcting data discrepancies related to orders, inventory, pricing, and payments
- Tracking key performance indicators (KPIs) and analyzing program data to support both revenue goals and food access impact
We are seeking a high performer with the following:
- Has strong experience working with complex software systems (e-commerce platforms, CRMs, inventory or order management systems)
- Is highly proficient in Google Sheets (or Excel), including formulas, filtering, sorting, and error-checking across large datasets
- Is comfortable working independently and taking ownership of data accuracy and deadlines
- Can manage multiple recurring weekly workflows with precision and consistency
- Enjoys detail-oriented work and takes satisfaction in making systems run smoothly
- Values the role of strong operations as essential infrastructure for a healthy local food system
Pay & Benefits:
Pay is $30-35/hr, dependent upon skill level and experience. Full-time staff also receive a benefits package that includes discounts on local food, 10 paid holidays, 2 weeks paid time off in the first year, 401k w/matching, and a no-cost medical insurance plan that includes health, dental, vision and massage/chiropractic.
