Shipping & Receiving / Materials Coordinator – Manufacturing (Petaluma)


We are a full-service contract manufacturing company located in Southern Sonoma County (Petaluma, CA). We are seeking a detail-oriented Shipping & Receiving / Materials Coordinator to support our production team and manage material flow from raw stock through finished product shipment in a precision manufacturing environment.
This role requires accuracy, accountability, and pride in workmanship—this is not a general warehouse position.
This role works at the intersection of material handling, quality, and scheduling, and requires clear daily communication with both internal teams and external partners.
This is an intermediate-level position suited for someone who takes ownership of their work, understands the importance of documentation and part accuracy, and is comfortable working closely with multiple teams throughout the day.

Core Responsibilities:
• Count, package, label, and protect precision-machined and cosmetic parts
• Prepare shipments for local, domestic, and international customers (UPS, DHL)
• Package and process parts for outside services (plating, heat treat, etc.)
• Receive and verify incoming material against purchase orders using an ERP system
• Label, identify, count, and tag material accurately
• Maintain accurate inventory records and reports
• Develop and follow documented packaging and labeling processes
• Create, verify, and manage shipping documentation and invoices
• Box, barcode, and stage shipments for pickup
Daily Interaction & Communication:
• Participate in daily stand-up meetings with Quality Assurance, Production, and Purchasing to review priorities, including push-ins, pull-outs, incoming material, outside processing, and outbound shipments
• Use priority lists, schedules, and ERP data to organize daily receiving and shipping activities
• Communicate with internal teams and external suppliers/customers via email to confirm material status, shipping readiness, and delivery expectations
• Escalate discrepancies, shortages, or schedule conflicts clearly and promptly
Requirements:
• Minimum 2 years of experience in shipping, receiving, packaging, or materials handling in a manufacturing environment
• Comfortable using ERP or MRP systems (JobBOSS or similar a plus)
• Strong attention to detail, counting accuracy, and organization
• Able to work independently and manage daily priorities
• Comfortable standing for extended periods and lifting up to 50 lbs occasionally
• Forklift experience a plus
Compensation & Benefits:
• $23–$26.50 per hour, depending on experience
