Searching for an Assistant Property Manager – Industrial Properties - Women retiring after 23 years with firm - We need a STAR!!
Position Overview:
The Assistant Property Manager (Industrial) plays a critical role in supporting the operational, financial, and tenant-facing functions of a high-performing industrial real estate portfolio. This individual works closely with the Property Manager to maintain the physical condition of each asset, ensure strong tenant relationships, coordinate maintenance activities, and support all administrative, accounting, and compliance tasks to ensure the properties operate efficiently and profitably. The ideal candidate is detail-oriented, highly organized, professional in communication, and comfortable in a fast-paced environment with a diverse range of industrial tenants and vendors.
Key Responsibilities
Tenant Relations & Operations
• Serve as a primary point of contact for tenants, responding promptly to inquiries, maintenance requests, and general questions.
• Coordinate routine and emergency maintenance with vendors and assist with scheduling, follow-up, and completion verification.
• Assist in preparing tenant correspondence, including welcome packages, property notices, access requests, and rule/regulation updates.
• Support move-in and move-out processes, including inspections, documentation, and coordination with contractors.
• Maintain accurate records of tenant interactions, service requests, and maintenance history.
Financial & Administrative Support
• Assist with the preparation, distribution, and tracking of monthly rent statements and CAM charges.
• Support the Property Manager with annual budgets, financial reports, and variance explanations.
• Process invoices for approval, ensuring accuracy, coding, and timely submission.
• Track utility bills, service contracts, and recurring expenses to ensure alignment with property budgets.
• Review and assist with tenant bill-backs, expense reconciliations, and operating cost estimates.
Property Maintenance & Vendor Coordination
• Engage with maintenance staff, contractors, and service providers to ensure timely execution of work, adherence to service-level expectations, and compliance with safety requirements.
• Assist with site inspections, documenting conditions, identifying maintenance issues, and ensuring corrective actions are taken.
• Support the management of vendor contracts, including bid solicitations, contract renewals, and performance evaluations.
• Help oversee preventive maintenance programs for HVAC, roofing, parking lots, landscaping, fire/life-safety systems, and other industrial building components.
Compensation: $75,000 - $80,000 DOE
