Office Manager – Construction Industry (Pool Construction)

Location: Riverview, Florida
Job Type: Full-Time (45 APPROX hours/week)
Salary Range: $45,000 – $59,000 (based on experience)

Premier Pools & Spas is seeking a highly organized, dependable, and proactive Office Manager to support our pool construction operations. This is a key leadership role responsible for ensuring smooth office operations, strong administrative controls, and effective coordination between office and field teams as we continue to grow and modernize.

Key Responsibilities

Oversee daily office operations, correspondence, and document organization
Handle bookkeeping, invoicing, expense tracking, and reporting using QuickBooks and Excel
Support HR functions including payroll processing, hiring coordination and employee onboarding
Maintain and track permits, licenses, contracts and compliance documentation
Assist with project coordination, deadline tracking and communication between office and field teams
Manage office supplies, vendors, and service providers
Implement and improve office procedures to enhance efficiency, accuracy, and scalability
Qualifications

Minimum 3 years of office management experience, preferably in the construction industry

Strong proficiency in Microsoft Office, QuickBooks and Excel
Excellent organizational, multitasking and communication skills
Experience handling contracts, permits and compliance documentation is a plus
Ability to thrive in a fast-paced construction environment
Spanish speaking is a PLUS

Strong working knowledge of Microsoft Office 365, with the ability to use modern, intelligent productivity features (not just basic Office usage)


Ability to quickly learn and implement AI-assisted tools for office management, documentation, scheduling, data organization and process optimization
Comfortable working with next-generation office systems that integrate automation, analytics and AI-driven decision support
Proactive in staying current with emerging technology as the company continues to scale and expand
Tech-Forward Expectations
Ability to adopt new technology and AI tools with a short learning curve
Experience using AI-assisted platforms for administrative, accounting, or operational tasks is strongly preferred
Ability to identify opportunities where AI can streamline office and construction workflows
