Job Title: Real Estate Administrator

Location: Hybrid or Remote
Reports To: Managing Partner or Property Manager

Role Overview:

We are seeking a highly organized and reliable Real Estate Administrator to manage the day to day operational and financial tasks across our rental property portfolio. This role is critical to keeping rent flowing, tenants compliant, and properties legally protected. You will handle everything from rent collection to evictions, county filings, and vendor coordination.

This role is ideal for someone who is detail driven, firm but professional with tenants, and comfortable working with legal, financial, and property records.

Key Responsibilities:

Rent, Payments, and Financial Tracking
Track and collect monthly rent from all tenants
Send rent reminders, late notices, and payment follow ups
Post all payments into the property management system
Reconcile tenant ledgers and flag delinquencies
Prepare monthly rent and aging reports
Coordinate with accounting for deposits, fees, and owner statements
Tenant Compliance and Evictions
Send notices for late rent, lease violations, and non compliance
Prepare and file eviction paperwork when required
Coordinate with attorneys, courts, and sheriffs for eviction scheduling
Track legal timelines, hearings, and court outcomes
Maintain full eviction files for each tenant
County, City, and Legal Paperwork
File property documents with county and city offices
Handle registration of rental properties
Track licenses, permits, and renewal dates
Submit tax, assessment, and compliance forms
Maintain organized digital records of all filings
Lease and Property Administration
Maintain all lease agreements and tenant records
Track lease start, end, and renewal dates
Prepare renewal offers and lease amendments
Coordinate move ins, move outs, and inspections
Manage security deposit accounting
Vendor and Property Support
Submit work orders and follow up with vendors
Track invoices, approvals, and payments
Maintain service records for each property
Escalate urgent maintenance issues

Required Skills and Experience:

Experience in real estate, property management, or legal admin work
Strong knowledge of leases, rent, and tenant management
Comfort working with courts, attorneys, and county offices
Excellent organization and follow up skills
Ability to handle difficult tenant conversations professionally
Experience with spreadsheets, property software, and document systems
