Job Description
We are a Texas-based hemp/cannabis brand operating in a highly regulated environment. We are seeking a detail-oriented Operations & Compliance Administrator to manage all administrative, compliance, and back-office functions of the business.
This role is critical to ensuring regulatory compliance, operational efficiency, and risk mitigation. The ideal candidate is organized, proactive, calm under pressure, and experienced in regulated industries.
This is not a marketing or sales role. This position exists to protect the business, keep operations organized, and ensure compliance with Texas and federal hemp regulations.
Key Responsibilities
Compliance & Regulatory Administration
• Maintain and organize all Certificates of Analysis (COAs) for hemp products
• Track THC compliance (Δ9, THCa, total THC) for all SKUs
• Ensure product labeling and packaging comply with Texas DSHS/TDA and federal regulations
• Maintain age-restriction (21+) compliance documentation and SOPs
• Monitor and track Texas hemp law updates and regulatory changes
• Prepare documentation for inspections, audits, or compliance inquiries
• Maintain compliance calendars for renewals, filings, and audits
• Organize vendor licenses, insurance, and compliance records
• Administrative & Operations Support
• Manage invoices, vendor paperwork, and W-9 collection
• Maintain organized digital filing systems (Google Drive, Dropbox, etc.)
• Track contracts, leases, and service agreements
• Assist with payroll inputs and employee records (not payroll processing)
• Document SOPs for operations and compliance procedures
• Inventory & Product Administration
• Maintain SKU master lists and batch tracking
• Link product batches to COAs and packaging
• Reconcile inbound shipments with invoices and documentation
• Maintain recall readiness documentation
Payments, Banking & Risk Management
• Maintain merchant processor compliance documentation
• Assist with KYB, banking audits, and processor reviews
• Track and organize chargeback and dispute documentation
• Ensure product descriptions align with processor requirements
• Coordinate with bookkeeper or CPA for clean recordkeeping
Retail & Team Support
• Maintain employee files and onboarding documentation
• Track training documentation (age verification, compliance SOPs)
• Document incidents, inspections, or customer issues
• Support store managers with administrative needs
Qualifications & Experience
• Experience in operations, compliance, or administrative roles
• Background in regulated industries preferred (hemp, cannabis, alcohol, tobacco, pharma, finance, logistics)
• Strong organizational and documentation skills
• Familiarity with compliance workflows and audits
• Comfortable handling sensitive and confidential information
• Proficient with Google Workspace, spreadsheets, and cloud filing systems
• Ability to work independently and meet deadlines
