Job Description

Position Summary

This position is with a family owned and operated high end construction remodeling company in the Marin County area.
The Project Manager is responsible for overseeing and coordinating all phases of construction projects from pre-construction through closeout. This role requires strong construction knowledge, exceptional organization, punctuality, and consistent follow-through to ensure projects are completed on schedule, within budget, and to company quality standards.
The Project Manager is expected to take full ownership of assigned projects, proactively plan ahead, lead jobsite execution, and utilize Buildertrend as the primary tool for scheduling, documentation, budgeting, and communication. Reliability, attention to detail, and accountability are essential for success in this role.


Key Responsibilities
Project Planning & Scheduling
Develop and maintain detailed project schedules, including a rolling two-week look-ahead, updated weekly.
Enter and maintain all schedules, milestones, and activities in Buildertrend for full team visibility.
Coordinate schedules with trade partners, in-house teams, and suppliers to ensure jobsite readiness.
Plan proactively to prevent delays related to labor, materials, or sequencing.


Staffing & Resource Management
Ensure job sites are properly staffed and prepared daily to maximize productivity.
Assign tasks clearly to in-house teams and trade partners.
Review and approve jobsite-related timecards weekly.
Ensure trade partners are scheduled, compliant, and prepared prior to mobilization.


Budget & Cost Management
Prepare, track, and manage project budgets in Builder trend.
Monitor costs, identify variances, and create purchase orders, bills, and change orders as required.
Ensure material procurement aligns with the project schedule, including tracking long-lead items.
Educate trade partners on billing procedures and payment cycles.


Construction Oversight & Jobsite Leadership
Demonstrate strong knowledge of construction processes, sequencing, and quality standards.
Ensure job sites are set up according to company RoadMaps and Flowcharts.
Conduct regular jobsite walks to verify progress, quality, and schedule adherence.
Begin internal punch lists when trade scopes reach approximately 80% completion.
Maintain clean, organized, and professional job sites.
Quality Control & Safety
Enforce company safety policies and OSHA standards.
Conduct routine safety and quality checks.
Maintain high-quality workmanship standards with minimal rework.
Ensure sites are safe, secure, and properly shut down at the end of each day and week.


Communication & Documentation
Use Buildertrend as the primary platform for:
Daily logs with photos/videos
Schedule updates
RFIs
Change orders
Trade partner and internal communication
Provide timely daily and weekly project updates to leadership.
Assist with structured client updates following company SOPs.
Maintain a clear paper trail by documenting decisions, action items, and next steps after meetings.
Ensure all project documentation is organized and uploaded to Google Drive and Buildertrend.


Problem Solving & Accountability
Address jobsite issues promptly to keep projects on track.
Anticipate challenges and resolve them before they impact schedule or budget.
Demonstrate reliability through punctuality, preparedness, and consistent follow-through.
Lead with urgency, professionalism, and attention to detail.



Required Skills & Qualifications
Proven experience in construction project management.
Strong working knowledge of Buildertrend (required).
High level of punctuality, reliability, and task completion.
Ability to read and interpret construction drawings and specifications.
Strong organizational, scheduling, and communication skills.
Comfortable managing multiple active projects.
Proficiency with Google Workspace (Drive, Docs, Sheets).
