⚖️ Legal Assistant/Client Relations Specialist Job Description ⚖️
This role is a full-time position. This position is central to our firm's success, with a strong focus on client intake and conversion, as well as critical administrative and legal support duties.
Fluency in Spanish is a mandatory requirement for this position.
Primary Responsibilities & Key Performance Indicators (KPIs)
The core functions of this role are to (1) drive the firm's growth by expertly handling initial client contact and converting prospective leads into retained clients, and (2) to perform the administrative and legal support duties as described below. These duties may be updated from time to time.
*Client Intake & Sales Conversion (HIGH PRIORITY)
*Billing & Accounts | Prepare and send out client invoices in a timely manner, process payments, and track outstanding balances.
Administrative & Operational Duties
* File Management: Create and organize digital and physical client files.
* Proficiency with Microsoft Office Suite (Word, Excel) and ability to quickly learn legal case management software (LCS) and e-filing systems.
* E-Filing & Court Documents: Prepare and electronically file court documents with various courts (e-filing systems). Ensure strict adherence to court rules and deadlines.
* Calendaring & Scheduling: Manage the firm's master calendar, including scheduling client meetings, deadlines, hearings, and appearances.
* Docketing: Create court dockets for court appearances.
* Office Management: Monitor and maintain inventory of office supplies, and coordinate routine maintenance and troubleshooting for office equipment.
Legal Support Duties
* Occasional Court Appearances, document drafting, and Spanish language support.
Compensation
This is an hourly paid position as a W-2 employee.
* Hourly Rate: Commensurate with experience.
